CLEAR AND CONSIDERED
Your photo is personal. The way it is handled should be clear.
We keep your accepted photos, dog details, portrait versions and saved choices together in a private project. We check it’s you before opening your project files or orders.
Experience analytics and marketing start off. Your project does not depend on choosing them, and you can change your preferences from Privacy choices. Advertising measurement, below, works differently: it is on unless you switch it off.
To learn which of our ads and posts bring people to Woof Spark, and to show our ads to people likely to enjoy them, we use the Meta Pixel and Conversions API (for Facebook and Instagram) and the Google tag (for Google Analytics and Google Ads). For portraits started from 23 October 2026, this measurement is on unless you switch it off. When you visit our pages, see your first preview, add to your basket, start checkout or buy, we share with Meta and Google the page address (never a private link), what happened and when, the order value, a coded event reference, your browser and device details and internet (IP) address, the cookies these services set, any ad-click reference, and your email address and account reference in coded (hashed) form so each service can match the event to its own accounts. We never share your photos, portraits, dog names or details, delivery address, phone number or card details, and we do not upload customer lists to Meta or Google. Meta and Google use this information under their own terms to measure and improve advertising, including showing our ads to people who have visited our pages.
Switch advertising measurement off at any time in Privacy choices. This stops future sharing from your browser and account; it cannot recall information already shared. We treat a Global Privacy Control signal from your browser as switching it off. Portraits started before 23 October 2026 are never shared for advertising measurement, and memorial portraits and their pages are never measured for advertising. For questions or a provider privacy request, email portraits@woofspark.com.au.
When you first visit, we save a small cookie with the campaign name in the link you followed (for example an ad, email or post) and whether you came from Facebook, Instagram, Google, our main website, an email or somewhere else. We never save the full address of the page you came from. If you start a portrait, we keep these campaign details with it so we can see which campaigns lead to portraits and orders. They stay with us and are not shared, so we keep them even if you switch advertising measurement off. We keep them for 14 months, and they are included when you download or delete your data. Memorial portraits are never labelled.
We use Microsoft Clarity to see how people use our pages: the pages you visit, where you tap, click and scroll, and your type of device and browser. Your photos, portraits, dog names, email and delivery details and anything you type are hidden before this leaves your browser, and Clarity does not run on staff pages, email links, payment returns or account recovery. Clarity uses cookies that last up to a year, and Microsoft processes the information outside Australia. It does not run when your browser sends a Global Privacy Control signal, and saving your Privacy choices with Experience analytics off switches it off in that browser. For questions, email portraits@woofspark.com.au.
Google processes your uploaded dog photos, dog names, chosen style and version, requested refinements and artwork to check photos and create and review your portrait. Google does not use this content for general product improvement. Request and response records are kept for 55 days for safety, security and legal purposes; authorised staff may review flagged content. Processing and temporary storage may take place outside Australia. For questions about this, email portraits@woofspark.com.au.
We store your photos and portrait artwork for 90 days, then delete the files. For a portrait you haven’t bought, the 90 days start from the last time you worked on it. For a portrait you’ve bought, they start from your order, your last change or a refund, whichever is latest. Print files are kept for 90 days after your print ships or is refunded. We keep files longer while an order, help request or payment dispute is still open, and we keep the order record itself. Please download and save your purchased files during this period. Files you have downloaded remain yours to keep.
Your account shows when each portrait’s files are due to be deleted. Before that date, you can choose to keep a portrait you’ve bought for another 90 days from the day you ask. Downloading a file doesn’t change the date.
Our app and database are hosted in Sydney. Some services that help us run Woof Spark Portraits store or process information outside Australia. Google (portrait processing, address search, Google Analytics and Google Ads) processes information in the United States and may store it temporarily in any country where it operates. Meta (Facebook and Instagram measurement) and Microsoft (Clarity) process information in the United States. Mailchimp and Mandrill, our email services, store information in the United States. Square processes payments in Australia and the United States. Printful, which makes and ships printed products, may process your order in the United States. Cloudflare checks some requests for automated abuse across its worldwide network. We use these providers under their published privacy and data-processing terms.
From your account, you can download a copy of your data or ask us to delete it. To see or correct anything else we hold about you, email portraits@woofspark.com.au and we’ll reply within 30 days. Required commerce records, such as orders and tax records, may have a separate retention period.
If a data breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner (OAIC) as the law requires, and explain what happened and what you can do.
